Terms of Service

Effective date: 27 October 2026

1. Agreement to these Terms

These Terms of Service (Terms) are a legally binding agreement between you (either an individual or an organisation, you) and LUX APPS LTD, trading as Accordo (Accordo, we, us or our), governing your access to and use of the Accordo website, workspace, survey links, integrations and related services (together, the Services).

If you accept these Terms on behalf of an organisation, you confirm that you have authority to bind that organisation, and you refers to that organisation.

By accessing or using the Services, you confirm that you have read, understood and agree to be bound by these Terms. If you do not agree, you must not use the Services.

2. The Services

Accordo is a survey and workplace insights platform. It lets organisations and workplace consultants create surveys, collect feedback from people in a workplace, and analyse the results. The Services include survey templates and a question library, multilingual surveys using automated translation, distribution by link, email, Slack and Microsoft Teams, recurring pulse surveys, analytics, group comparisons, benchmarking where available, and AI-generated summaries of open-text feedback.

There are three ways people use Accordo:

  • Customers: organisations and consultants who hold an Accordo account.
  • Users: individuals a Customer invites to its workspace, such as team members or colleagues.
  • Participants: people who answer a survey sent by a Customer, without creating an Accordo account.

3. Accounts

3.1 Eligibility. You must be at least 18 years old to create an account or be added as a User.

3.2 Your account. You are responsible for:

  • providing accurate information and keeping login details confidential;
  • all activity under your account, including activity by Users you invite;
  • assigning roles and access permissions appropriately within your workspace;
  • telling us promptly if you suspect unauthorised access to your account.

3.3 Acceptable use. You must not use the Services to:

  • collect personal data you are not lawfully entitled to collect, or survey people without an appropriate lawful basis;
  • send unsolicited messages, or invite people to surveys in breach of applicable law or your organisation's policies;
  • upload content that is unlawful, defamatory, discriminatory or infringes anyone's rights;
  • attempt to identify Participants who have responded anonymously;
  • reverse engineer, disrupt or compromise the security of the Services, or the AI models that support them.

We may remove content or suspend accounts that breach these Terms.

4. Consultants and client organisations

Accordo lets consultants manage surveys for several client organisations in one workspace, including client-specific surveys, branding, data lists and access permissions.

If you use the Services on behalf of a client, you are responsible for:

  • having your client's authority to run surveys and process data on its behalf;
  • the agreements, data protection arrangements and instructions between you and your client;
  • making sure you have the right to use any client names, logos or branding you upload;
  • keeping each client's data and access separate, using the tools the Services provide.

Our agreement is with you, the consultant. We are not a party to your agreements with your clients.

5. Surveys, Participants and anonymity

5.1 Your surveys. You are responsible for the content of your surveys, the people you invite, the languages you enable, any introduction, consent or privacy text you show Participants, and how you use the results.

5.2 Participants. Participants answer surveys through a link, email invitation, or Slack or Microsoft Teams message, and do not need an account. By submitting a response, a Participant agrees to these Terms so far as they apply to Participant use of the Services.

5.3 Anonymous surveys. When you choose anonymous responses, the Services do not attach Participants' identities to their answers. However, Participants may still be identifiable from free-text answers or when results are reported for very small groups. You are responsible for designing and reporting on surveys in a way that protects anonymity, and for not telling Participants a survey is anonymous when it is not.

6. Integrations

The Services can connect to third-party platforms such as Slack and Microsoft Teams. Integrations only work once you configure them, and your use of those platforms is governed by their own terms. We are not responsible for third-party platforms, their availability or changes they make that affect an integration.

7. AI features

7.1 How we use AI. Accordo uses artificial intelligence tools, including tools provided by third parties (AI Tools), to translate survey content and responses, and to generate summaries of open-text feedback.

7.2 Know the limits. AI-generated translations and summaries may be incomplete or inaccurate, and may not capture tone, nuance or cultural context. You are responsible for reviewing translated content before publishing a survey, particularly consent text, sensitive wording and questions about wellbeing. AI-generated summaries are intended to support, not replace, professional judgement.

7.3 No training on your content. We do not use your survey content or Participant responses to train AI models. AI Tools process that content only to provide the Services to you.

7.4 Availability. We are not liable if a third-party AI Tool becomes unavailable or is changed or withdrawn by its provider.

8. Your content and data

8.1 Ownership. You retain ownership of the surveys, questions, branding and other material you create or upload, any historical survey data you import, and the response data collected through your surveys (Customer Content).

8.2 Licence to us. You grant us a limited, worldwide, non-exclusive licence to host, process, translate, analyse and display Customer Content solely to provide, maintain, secure and support the Services for you.

8.3 Imported data. If you import historical survey data, you confirm that you have the right to do so and that its use in the Services complies with applicable law and any terms under which it was collected.

8.4 Benchmarks. Where we provide benchmark comparisons, we may use aggregated and anonymised data, combined across customers, that does not identify you, your clients or any individual.

8.5 Feedback. If you send us feedback or suggestions, we may use them to improve the Services without obligation to you.

9. Plans and fees

Accordo offers a free plan with access to the core capabilities of the Services, subject to usage limits. Paid plans, where available, provide higher response volumes and additional capabilities, as described on our website or in your order. Fees are billed as set out at checkout or in your order and are non-refundable except where required by law. We will give reasonable notice of changes to plan limits or fees that affect you.

10. Data protection

10.1 Two roles. Accordo processes two broad types of personal data, and our role differs for each:

  • Account data (the names, email addresses and settings of Customers and Users): Accordo is the data controller. See our Privacy Policy.
  • Survey data (Participant lists, invitations, responses and any personal data your surveys collect): you are the data controller and Accordo acts as your data processor, processing that data only on your documented instructions to provide the Services. If you are a consultant acting for a client, you are responsible for the arrangements between you and that client, and Accordo processes the data on your instructions.

10.2 Your responsibilities. You are responsible for having a lawful basis to collect and use survey data, giving Participants appropriate privacy information, and complying with data protection law, including where surveys collect special category data such as information about health or wellbeing.

10.3 Data processing addendum. Our data processing addendum, which sets out our obligations as a processor, is available on request using the contact details in section 17.

11. Availability and changes

We work to keep the Services available and secure, but do not guarantee uninterrupted or error-free operation. We may change, add or remove features. If a change materially reduces the Services you pay for, we will give you reasonable notice.

12. Disclaimers

The Services are provided as is and as available. To the fullest extent permitted by law, we disclaim all implied warranties, including of satisfactory quality, fitness for a particular purpose and non-infringement. We do not warrant that analytics, benchmarks, translations or AI-generated summaries will be accurate, complete or suitable for any particular decision. The quality of any conclusions depends on survey design, participation and how representative responses are.

13. Limitation of liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

Subject to that, we will not be liable for any indirect or consequential loss, or for loss of profits, revenue, business or data. Our total liability arising out of or in connection with these Terms or the Services will not exceed the amount you paid us in the twelve (12) months before the event giving rise to the claim or, if you are on a free plan, Β£100.

14. Indemnity

You agree to indemnify us against third-party claims, losses and reasonable legal costs arising from: (a) your Customer Content or use of the Services; (b) your breach of these Terms; (c) your breach of data protection law in respect of survey data; or (d) any dispute between you and your client, where you are a consultant.

15. Suspension and termination

You may stop using the Services and close your account at any time. We may suspend or terminate your access, with notice where practicable, for breach of these Terms, non-payment, fraud or a security risk.

When your account closes, you can export your data before closure. Customer Content will then be deleted or made inaccessible in line with our retention practices, unless we are required to keep it by law.

16. Governing law

These Terms and any dispute arising from them are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

17. Changes to these Terms and contact

We may update these Terms from time to time. If changes are material, we will give reasonable notice, for example by email or in the workspace. Continuing to use the Services after changes take effect means you accept the updated Terms.
